As a library grows, folders and platform dashboards stop being a complete catalog. A separate inventory can connect the master file, preview, published URLs, participants, consent records and current availability without placing private documents in public metadata.

Give every release a stable ID

Use an internal identifier that does not change when the public title is translated or revised. The ID can connect files and records while the viewer-facing slug remains readable.

Record searchable fields

  • Public title and short description.
  • Release date and approximate duration.
  • Video orientation, resolution and frame rate.
  • Themes and format labels.
  • Published platform URLs.
  • Rights, consent and collaboration status stored in a protected record.

Separate masters, exports and previews

Control duplicates

A compilation, extended cut and remaster may share source material. Record those relationships so descriptions are honest and viewers can see whether a new product repeats content they already own.

Audit availability

  1. Check links and access quarterly.
  2. Mark removed or replaced versions.
  3. Update descriptions when formats change.
  4. Repair internal links to the preferred page.
  5. Preserve historical IDs without keeping broken public routes.

A good catalog serves both discovery and operations. Stable IDs, clear format fields and protected rights records make a 100-video library easier to trust than a folder of clever filenames.

A final practical note

Choose catalog fields by decisions they support. If a field never helps publication, rights, discovery or reporting, it may be maintenance noise. Conversely, a missing platform URL or consent status can create real risk. Begin with a small reliable schema and add fields only when the workflow can keep them current.
